Summary of Position

Widener University is currently seeking an Admissions Operations Specialist in the Office of JD Admissions at the Delaware Law School.  Reporting to the Assistant Dean for Admissions, this role is responsible for providing a variety of administrative duties supporting the mission of the Office and achievement of target enrollment goals. The Admissions Operations Specialist will provide a high-level of administrative support to all colleagues in the Admissions Office along with detailed data processing and database management. While providing excellent customer service to prospective students, the Admissions Operations Specialist will be required to work with a high level of professionalism, attention to detail, process management, discretion, and confidentiality. 

The ideal candidate for this position should be able to work independently, multitask, problem-solve, prepare correspondence, and maintain databases. They should have strong interpersonal communication skills and the ability to communicate clearly verbally and in writing with varied constituent groups. Duties are moderately complex and varied. The person in this position routinely handles confidential information and contributes to a positive work environment.

DUTIES AND RESPONSIBILITIES (including, but not limited to):

Essential duties:

  • Greet and provide first-impression of law school to all outside visitors upon their arrival, while delivering excellent customer service
  • Answer all department telephones, answer inquiries, screen and route callers, and reply to questions in accordance with office procedures and policies
  • Answer and respond to applicant email inquiries regarding application procedures, JD programming, enrollment options, and all aspects of the admissions process
  • Manage campus visit and counselling appointments through Microsoft Bookings, Dynamics, and Outlook Calendar software tools;
  • Assist with organizing, planning, and implementing all on-campus recruitment events, including but not limited to Information Sessions and Accepted Applicant yield events
  • Processes application imports, admission decisions and deposits
  • Manage CRM system (LSAC UNITE) and University Database System (Colleague), and all functions related to application document submissions and application verification process
  • Work with outside database vendor and internal Information Technology staff to trouble shoot database issues as they arise to ensure data integrity
  • At times, acts as liaison with Law School Admissions Council Support Services Team for applicants having difficulty with the application itself, the Credential Assembly Service, or Online Status Check tool
  • Conduct first level of application review, providing necessary email communication to applicants who have failed to provide all needed information
  • Independently determine application readiness for decision review; determine and track application stage and status

MINIMUM QUALIFICATIONS (education/training and experience required):

Required:

  • Valid Driver’s License
  • High School Diploma or equivalent
  • 2+ years of administrative experience in a service-oriented environment or any combination of experience, training or education, which provides the necessary skills and knowledge
  • Proficiency in the Microsoft Office Suite, (Word, Excel, Outlook, one Drive, Bookings, etc)
  • Excellent communication skills (i.e. grammar, vocabulary) to be applied to telephone and written communications such as email, letters, and memos
  • Superior interpersonal skills with a demonstrated ability to interact effectively with applicants, parents, students, and all staff in a high-volume office
  • Demonstrated ability to multitask with exceptional attention to detail
  • Aptitude and willingness to learn new technology systems and system upgrades, including but not limited to Customer Relationship Management systems and student information systems
  • Enthusiastic, organized self-starter capable of working independently and as a part of team supporting creative people and innovative solutions

Preferred:

  • Working knowledge of and prior experience utilizing a Customer Relations Management database system
  • Experience in support or Admissions Office role in higher education

PHYSICAL REQUIREMENTS AND/OR UNUSUAL HOURS: 

  • Evening and weekend hours are occasionally required
  • Lifting up to 25 lbs.
  • Ability to work at a computer for extended periods of time
  • Frequent walking, standing and climbing stairs
  • Ability to be mobile between workstation and other buildings on campus
